How to Import Custom Packaging from China: Step-by-Step for First-Time Buyers

Step 1: Find and Verify a Factory

Step 2: Request a Quote

Send a complete brief (see our brief template). A good factory returns a quote within 24–48 hours with: unit price, MOQ, tooling/plate cost, sample cost, lead time and Incoterm.

Step 3: Approve the Sample

Pay for a sample (USD 50–200). Evaluate against your spec. Request revisions if needed. Once approved, sign off in writing — this locks the specification for mass production.

Step 4: Pay the Deposit and Start Production

Standard: 30% deposit by T/T wire transfer. Factory issues a Pro Forma Invoice (PI) as your reference document. Production begins after deposit clears.

Step 5: Pre-Shipment Inspection

At production completion, the factory sends inspection photos. For orders over USD 5,000, consider hiring a third-party inspector (SGS, QIMA) to visit the factory. Pay the 70% balance after inspection approval.

Step 6: Freight Forwarding

Your freight forwarder books the container space (LCL for small shipments, FCL for full containers). They handle export customs in China. You receive a Bill of Lading (B/L) when the cargo is loaded. Sea freight to US: 14–21 days. To Europe: 28–35 days.

Step 7: Import Customs Clearance

Your customs broker files the import declaration using the Commercial Invoice, Packing List, B/L and any certificates required (FSC, REACH, etc.). Import duty rates vary by HS code and trade agreements. For paperboard boxes from China to the US: Section 301 tariffs apply (currently 25%). BestPackFactory can provide HS code guidance.

Step 8: Landed Cost Calculation

Total cost = factory price + freight + customs duty + customs broker fee + inland delivery. Always calculate landed cost before comparing factory quotes — a cheaper FOB price may result in a higher landed cost if the factory is at a more distant port.
