Working with a China Packaging Factory: Communication, Time Zones and Remote Proof Approval

Quick answer
China runs on a single time zone, UTC+8, so plan for your messages to be read during the factory's next working day and use the short overlap window for calls. Use WhatsApp or WeChat for quick questions, photos and video, but put every specification, price, proof approval and change in email or a signed document. Share print-ready vector files with the dieline, approve versioned proofs in writing, and use a physical sample for anything colour-critical.
Quick facts: Custom Boxes
- Indicative unit price: about US$0.05–0.10 per piece. This is a guide, not a quotation: the final price depends on size, material, print colours, finish and order quantity.
- MOQ: typically from 500 pcs per size and artwork; the confirmed minimum depends on material, print method and features and is stated on the quotation.
- Lead time: Physical samples 5–7 working days after artwork is confirmed; bulk production 20–30 days after sample approval.
- Who makes it: BestPackFactory’s own factory in Longhua District, Shenzhen, China. Free dieline and artwork proof within 24 hours. See real samples and videos.

Time zones: find your overlap window
Mainland China uses China Standard Time (UTC+8) everywhere and does not observe daylight saving time. Your gap to the factory therefore shifts by an hour when your own country changes its clocks.
| Buyer location | China is ahead by (standard time / summer time) | Practical overlap |
|---|---|---|
| US East Coast | 13 h / 12 h | Your early morning or evening |
| US West Coast | 16 h / 15 h | Your late afternoon or evening |
| UK | 8 h / 7 h | Your morning |
| Central Europe | 7 h / 6 h | Your morning |
| Australia (Sydney) | China is behind by 2 h / 3 h | Most of the working day |
For buyers in the Americas, the most efficient rhythm is usually to send a complete, clear message at the end of your day so the factory can act on it during theirs. One vague message can cost a full day per round trip, so ask all your questions at once and attach the files they relate to.
WhatsApp vs WeChat vs email
| Channel | Best for | Watch out for |
|---|---|---|
| Quick questions, photos and short videos with export-facing sales staff | Not the default app inside China; confirm the factory actively monitors it | |
| The standard messaging app in China; useful if you already have an account | Messages are easy to lose in long threads; not a record of agreed terms | |
| Specifications, quotations, proofs, approvals, change requests and anything with attachments | Slower; use clear subject lines with the project name and version | |
| Video call | Reviewing samples together, walking through a complex structure | Schedule inside the overlap window; summarise decisions by email afterwards |
A simple rule: chat is for speed, email is for the record. When something is agreed on chat, send a one-line email confirming it. Our own sales team can be reached on WhatsApp at +86 158 8653 0985 and by email at lisa@colorprintingpackage.com.
What to confirm in writing
- Specification: style, inner dimensions, material and thickness, print colours, finishes, inserts.
- Quantity and tolerance: order quantity and whether a small over- or under-run is accepted.
- Price and terms: unit price, setup or tooling charges, Incoterm, currency and payment terms.
- Timeline: sample date, production start, ship date, and what happens if approval is late.
- Proof approval: which file version you approved and on which date.
- Packing and labelling: units per carton, carton marks, pallet requirements.
- Changes: any change after approval, with its effect on price and date.
Number every artwork and proof file (for example _v3) and refer to that number in each approval. Most remote-ordering disputes trace back to someone approving or printing the wrong version. For a full RFQ field list, see the custom packaging RFQ checklist.
Sharing artwork files
- Send vector print files (PDF or AI) placed on the factory's dieline, with fonts outlined and images embedded at print resolution.
- List spot colours by Pantone reference and say which elements are foil, embossing or spot UV, on separate layers where possible.
- Large files often exceed email attachment limits. Some cloud-storage services common outside China are not reliably accessible from mainland China, so ask which link type the factory can open before sending.
- Keep one master folder and send the complete file set each time, rather than single corrected elements.
Our artwork and dieline preparation guide covers file settings in detail.
Approving proofs and samples remotely
- Digital proof: check text, barcodes, panel positions and the dieline overlay. This confirms layout, not colour.
- White sample: ask for photos and a short video showing the unprinted box assembled, opened and closed with your product inside.
- Printed sample: request photos in daylight next to a Pantone reference, and for colour-critical work have the sample couriered to you.
- Written sign-off: reply by email naming the version and any remaining corrections.
- Pre-shipment check: ask for photos of finished goods, carton marks and packed cartons before the balance payment.
The differences between proof types are explained in digital proof vs white sample vs press proof.
Plan around Chinese holidays
The biggest interruption is Chinese New Year (Spring Festival), which falls between late January and mid-February. Many factories close for longer than the official holiday because workers travel home, and production often slows in the weeks before and after. The National Day holiday from 1 October and the Labour Day holiday around 1 May also stop production for several days, and shorter holidays such as Qingming, Dragon Boat and Mid-Autumn Festival can affect schedules. The government sometimes sets weekend make-up working days around holidays, so ask the factory for its exact closure dates each year and approve artwork well before them.
Common mistakes
- Treating a chat "OK" as a confirmed order.
- Sending corrections across several apps so nobody has the full picture.
- Approving colour from a phone screen.
- Leaving artwork approval until just before a holiday closure.
- Skipping supplier checks; see how to verify a China factory is legitimate before paying a deposit.
Frequently asked questions
What time zone are Chinese packaging factories in?
All of mainland China uses China Standard Time, UTC+8, with no daylight saving time. The gap to your office therefore changes when your own country switches clocks.
Should I use WhatsApp, WeChat or email with a Chinese factory?
Use chat (WhatsApp or WeChat, whichever the factory's export team actively monitors) for quick questions, photos and videos, and use email for anything that defines the order: specifications, quotations, proofs, approvals and changes. Then confirm chat decisions by email.
How do I approve a packaging proof without visiting the factory?
Check a versioned PDF proof against the dieline, then ask for photos or video of the white sample and printed sample, and for colour-critical jobs have a physical sample couriered to you. Approve in writing, quoting the proof version number.
When do Chinese factories close for holidays?
The longest closure is around Chinese New Year, which falls between late January and mid-February. The National Day holiday in early October and the Labour Day holiday around 1 May also stop or slow production. Ask the factory for its own closure dates each year.
